Refund Policy

We generally do not issue refunds. If you are unhappy with the results of your transcript or caption files please contact us and we will work with you until the results are satisfactory. We may issue a credit in certain instances (for example if you uploaded a transcript that did not match the media file uploaded.) Please contact us if you have any issues and we'll do our best to make sure you are satisfied.

This policy explains how SyncWords, Inc. (“SyncWords”, “we”) collects, uses and shares personal information when you visit syncwords.com or contact us through it. SyncWords, Inc., 1159 2nd Avenue, Suite 408, New York, NY 10065, USA is the data controller for this website. For anything in this policy, write to support@syncwords.com.

Media and data our customers process through SyncWords products are governed by the applicable service agreement, not this policy , there we act on the customer's instructions.

What we collect

Information you give us. When you submit a form , contact, demo request, pricing estimate or newsletter signup , we collect what the form asks for: typically your name, work email, company, phone number and your message or use case.

Information collected automatically. Analytics and advertising tools collect device and usage data such as IP address, browser type, pages visited and interactions, some of it via cookies. The Cookies Policy lists the tools and your choices.

Payments. Purchases of SyncWords services are processed by Braintree, a validated Level 1 PCI DSS compliant payment processor. SyncWords does not store your card number.

How we use it, and on what legal basis
  • Answering enquiries and demo requests , to take steps you ask for before entering a contract (GDPR Art. 6(1)(b)) or our legitimate interest in responding to business enquiries.
  • Newsletter and marketing email , with your consent, recorded at signup; every email includes an unsubscribe link and you can withdraw consent at any time.
  • Analytics and site improvement , with your consent where the law requires it for cookie-based tools; cookieless measurement (Vercel Analytics) relies on our legitimate interest in understanding how the site is used.
  • Advertising measurement and retargeting , with your consent.
Tools and recipients

We use a small set of service providers to run this site and our marketing: HubSpot (forms, CRM and email, hosted in HubSpot's EU data region), Google Analytics and Google Tag Manager, Mixpanel, Hotjar, Vercel (hosting and cookieless analytics), and the Meta, LinkedIn and OpenAI (ChatGPT) advertising tools. These providers process data on our behalf or, for advertising tools, as separate controllers under their own policies. We may also share information when the law requires it. We do not sell personal information.

International transfers

We are a US company and information is processed in the United States. Where personal data of EEA, UK or Swiss residents is transferred, we rely on safeguards such as the EU–US Data Privacy Framework certification of the provider or the European Commission's Standard Contractual Clauses.

Retention

We keep personal information only as long as needed for the purposes above: enquiry and CRM records for as long as we have an active relationship or a business reason to retain them, newsletter data until you unsubscribe, and analytics data for the retention window of the tool concerned.

Your rights

If you are in the EEA, the UK or Switzerland, you can request access to, correction, deletion or portability of your personal data, object to or ask us to restrict its processing, and withdraw consent at any time without affecting past processing. Email support@syncwords.com to exercise any of these; you can also lodge a complaint with your local supervisory authority. If you are a California resident, you have equivalent rights under the CCPA/CPRA, including opting out of the sharing of personal information for cross-context behavioral advertising , use the same address.

Security and children

Traffic to this site is encrypted in transit (TLS), and access to the systems holding your information is restricted. This website is not directed at children under 16 and we do not knowingly collect their data.

AI-generated imagery

Illustrative photography on this website is AI-generated. It depicts fictional people and scenes, not real customers, events or places; product screens are illustrative mockups carrying no real customer data. Customer logos, review badges and platform marks are genuine.
